Contractors naturally compare software on the monthly headline price, because that is what appears on the pricing page. In practice, tier gates for accounting sync, job costing and API access often double the effective subscription cost before implementation even begins.
Look at the published tier gates across leading field tools. Housecall Pro starts at $59/mo (annual) on Basic, but QuickBooks Online sync and job costing require Essentials ($149/mo annual) and Open API or QuickBooks Desktop requires MAX ($299/mo annual). Jobber starts at $29/mo (annual) on Core, gates QuickBooks Online sync to Connect ($99/mo annual), and gates Job Costing to Grow ($149/mo annual) or Plus ($399/mo annual). Roofr offers a free Pay-As-You-Go measurement tier, but proposals and invoicing require Essentials ($209/mo annual) or Pro ($299/mo annual).
Banking and AP automation tools have plan boundaries too. Relay publishes a $0/mo Starter tier with QuickBooks Online bank feeds, while its two-way QuickBooks Online Bill Pay sync requires Grow ($30/mo) or Scale ($90/mo) and notes partial bill payments as coming soon as of October 15, 2026. Beyond tier upgrades, scope the ongoing cost of maintaining the accounting boundary. In Sage Intacct, multi-entity journal imports can partially succeed; recovering cleanly requires reading back native document numbers for posted lines and retrying only failed entries rather than re-importing the whole batch. In LMN, crew job costing uses configured estimating wage rates without overtime, requiring a monthly payroll-register bridge to separate wage-rate variance from crew-hour efficiency variance.
None of this is an argument against buying modern software. It is an argument for pricing the complete stack honestly: the subscription tier that actually unlocks QuickBooks sync and job costing, onboarding and historical WIP migration, API or export access, and the monthly close review that keeps field dashboards tied to the general ledger.
